Cancellation of a web hosting account is a four step process, as per below:

Step One
requires the client to fill in the following form below, and submit it to us.
Step Two involves us emailing the client back with instructions of what the client is required to do at their end, and to provide as with a record that requested tasks have been performed by the client. Once we have received confirmation from the client.
Step Three is us emailing the client back to confirm that all steps have now been followed and the cancellation process has now been finalised.
Step Four
is us manually removing the hosting account, all files and settings from the server. These cannot be retrieved.

Until the first 3 steps have been completed, the hosting account will remain active and the client will continued to be billed for their hosting account. We have this four step process to prevent accounts getting deleted without authorisation of the web hosting account owner, and to make sure clients cancel their payments to us when we request it.

To commence the cancellation process, we require the hosting account owner fills in STEP 1 of our cancellation form below.


Warning For Clients Switching Hosting Providers - Watch Out For Inferior Web Hosting Providers / Products:

We regard our Premium Quality Web Hosting services, as being some of the best in the New Zealand hosting industry. Our premium hosting plans can offer superior reliability, stability and performance. We have also been providing Premium Quality Web Hosting to the NZ market since 2001, making us one of NZ's longest serving hosting providers.

Clients should be wary of web designers that require you to switch your web hosting to their own servers, and you need to ask them why they have this requirement. As our web hosting is compatible with almost all types of websites, including both linux and windows software languages, there is usually no reason why our hosting services can't continue to be used with any web designer of your choice.

We also usually recommend that clients host their website independently of their web designer. This is mainly because many web designers not having the support resources and experience to support their clients for hosting and email related issues. Also if your web designer ever goes out of business or moves on, this could mean your website also disappears without warning. We have seen this happen in the past, and often when that happens, the website is lost forever! There is far less of a risk of this happening when using an independent hosting provider, as two different independent companies would have copies of your website files. So even if your web designer did disappear, we would still have your website files on our servers. Also often web designers buy cheap inferior reseller web hosting services, where your website could end up being on a single server with thousands, if not tens of thousands of other websites, negatively affecting it's performance and speed. They also may not have the features we offer. For example we provide all our clients with a full featured hosting control panel, as well as POP, IMAP,SMTP & Webmail for email. Business websites should always be hosted on Premium Quality hosting, such as the premium hosting plans we offer.


STEP 1: Web Hosting Account Cancellation Request Form:


To apply to cancel your hosting account, we require our hosting clients to fill in the following 'Hosting Account Cancellation Form' below, and submit it to us a minimum of 10 days before the end of your current billing cycle. Failure to give us this 10 days notice, will mean that you will be charged for the next full hosting term, as per section 13 of our Terms of Service. The 10 day notice is required because we also have to pay our upstream providers in advance for your hosting account. For your reference, a full billing month starts on the 1st day of the calendar month, and ends on the last day of the calendar month, and is paid for in advance. The term you signed up for will depend on the payment interval and method of payment you signed up under. For example, If you selected to pay by cheque every 12 months, your minimum payment term will be 12 months, which will roll over every year. Please note that we don't provide pro rata refunds, for any unused part month/s of hosting.

Please note that submission of this form DOES NOT automatically cancel the hosting contract with us. We need to confirm and validate that the client has authorisation to delete the account, and that they have provided all the details needed do this. Failure to provide the required information may invalidate the cancellation process. Clients are also required to complete some tasks at their end, in order to finalise and complete the cancellation process. We will email the client back with the tasks they are required to do, to fulfil their end of the cancellation process. Tasks include the client making sure that they have cancelled their automatic payments with their bank, which is something only the client can do. Failure by a client to complete these cancellation tasks that we have requested, will mean that the hosting cancellation process will not be finalised and completed , until all requested tasks are completed by the client. The hosting account will remain active, and will continue to be billed for, until all requested tasks are completed by the client.

  • For clients who signed up to a monthly hosting contract, and opted to pay monthly by monthly automatic payment, you may want to specify the cancellation date as the last day of the current month, if there are still 10 days remaining in the current month. If not, you may want to specify the cancellation date as the last day of next months billing cycle, as you will be paying for it anyway.
  • For clients who signed up to a 6 or 12 month contract and are paying by cheque/direct credit, you may want to specify the cancellation date as the final day of the hosting term, as shown on the invoice. If there are less than 10 days remaining in that contract term, or you have already entered the new billing cycle, the date you should enter will be the final date as shown on the most recent hosting invoice you received, as you will need to pay for it anyway.
Hosting Account Deletion Date (dd/mm/yy)
  This date must not be in the past.

If the date you have specified falls in the weekend or holiday, the account will deleted on the last business day before the the date you specify. We will usually keep a hosting account active until the remaining prepaid credit has been used up. If you do submit this form within 10 days of the end of the current billing cycle, you will not receive instructions for the next step of the cancellation process, until the beginning of the next billing cycle.

Please note : If you require a website removing prior to the end of your billing cycle, you will need to remove the files manually yourself via FTP. If you would like us to manually remove it for you prior to the end of the billing cycle, there is a $20+gst charge for this service, as we have to do it manually. Otherwise it will be removed automatically at the end of the billing cycle.

Please tick this box if you would like us to manually remove your files off the server, prior to the automatic deletion of the account. A $20+gst fee applies for this service.

NOTE FOR DOMAIN REGISTRANTS WHO ALSO HAVE A DOMAIN NAME REGISTERED THROUGH US:

To modify the domains nameservers to another provider, you are able to do this inside the Domain Manager at http://www.domains.loungenetwork.co.nz/ . If you are on our Corporate or Business Class hosting plans, you are also able to make the changes inside your normal Hosting Control Panel. If you need us to make the DNS changes manually for you, we do charge a $22.22+GST administration fee for this service.

If you also want to transfer you domain name to another provider, please follow the instructions below:

- To transfer a .NZ domain to another provider, all you need is your UDAI code, which you can generate by logging into your Domain Manager at http://www.domains.loungenetwork.co.nz/. Your new provider will help you complete the transfer.

- To transfer an International Domain (eg. .COM, .NET, .BIZ etc) International Domain transfers are not automated, however you will need to request a authorisation code from us to begin the transfer process. You will also need to contact us to accept the domain transfer, and to allow us to authenticate that the transfer is valid. International domain switches can take a few weeks for the registry to process, as they are not automated like .NZ domain transfers. A transfer fee of $25 + GST per domain name will apply to cover our time to process the domain transfer of international domain names, as it requires quite a bit of work from our end. Please note that you will need to begin the transfer at least a few months before the domain is due to expire, otherwise the transfer may fail if it is too close to the expiry date. We recommend that if the domain is due to expire, that you renew it through us first, and then begin the transfer process.

I agree that I wish to cancel my hosting account with Design Lounge Ltd. I have provided you with the required details above, to authenticate that I have the authorisation to request the hosting account to be cancelled. I request that my account be cancelled on the date specified above.
I understand that when my hosting account is deleted, that any files I have stored on the server will be deleted and cannot be retrieved. This includes emails, website's, databases, and any other files that you have stored on the server.
I agree that I am responsible for the transfer of my website hosting and domain name to my new hosting provider (if applicable). I will have my website and/or domain name switched over to my new hosting provider before the Hosting Account deletion date that I have specified above.

I agree that I will cancel any automatic payments (if applicable) that I have setup with my bank for my hosting payments into your bank account. I understand that payments made in error will not be refunded. When hosting payments are made in error we will keep the hosting account active so you can still use it during this time.

PLEASE NOTE THAT IT IS VERY IMPORTANT THAT THE CLIENT CANCELS THEIR AUTOMATIC PAYMENTS WITH THEIR BANK AFTER WE INFORM THEM TO. AUTOMATIC PAYMENTS ARE ARRANGED BETWEEN THE CLIENT AND THEIR BANK, SO ONLY WEB HOSTING CLIENTS CAN CANCEL THEM. WE HAVE NO CONTROL OVER AUTOMATIC PAYMENTS THAT CLIENTS MAKE, AND TAKE NO RESPONSIBILITY FOR PAYMENTS THAT CONTINUE TO BE MADE. WE WILL REQUEST EVIDENCE FROM THE CLIENT, THAT AUTOMATIC PAYMENTS HAVE BEEN CANCELLED WITH THEIR BANK, BEFORE WE CAN FINALISE AND COMPLETE THE CANCALLATION PROCESS.

IF THE CLIENT PAYS BY AUTOMATIC PAYMENTS THROUGH THEIR BANK, THE FINAL PROCESSING OF THE CANCELLATION OF THE HOSTING ACCOUNT WILL NOT BE ABLE TO BE FINALISED AND COMPLETED BY US, UNTIL WE RECEIVE EVIDENCE FROM THE CLIENT THAT THEY HAVE ARRANGED FOR THE AUTOMATIC PAYMENTS TO BE CANCELLED WITH THEIR BANK.
